Personal Data Controller
Taskbuddy Scandinavia AB (”Taskbuddy”), Sankt Eriksgatan 97, is Personal Data Controller for the personal data which you provide to Taskbuddy. If you have any questions on personal data processing, please contact us at: gdpr@taskbuddy.se.
When you register as a User of services provided by Taskbuddy, such as the Taskbuddy service (“the Service”) Taskbuddy becomes Personal Data Controller for the personal data you provide in connection with registration. The personal data is processed by Taskbuddy in accordance with current data protection legislation. The personal data will be used for the operation and administration of the Service, and to implement actions necessary under the Terms and Conditions and the Contract with you. Personal data collected may be saved for as long as the Service and the Contract continue, or for up to 24 months after the termination of the Service or if the Terms and Conditions cease to apply for any other reason.
For subscription clients, personal data is processed firstly on the legal grounds to fulfil the Contract with you and during ongoing Service. After the Service has ceased, processing is also based on a legitimate interest to inform you of new services or follow-up completed projects, which we have judged to outweigh even your personal privacy in this matter. If the Service has been recommended to you by a User, we will contact you with questions and registration and subscription. We process all your personal data on the legal ground of legitimate interest. You have the right to contact Taskbuddy to obtain information on the data we hold on you, to request the correction or deletion of data which is no longer current, request a transfer of your data or request that we limit the processing of your data. You also have the right to contact the supervisory authority, Datainspektionen [the Swedish Data Protection Authority], if you wish to complain about the manner in which we process your personal data.
Taskbuddy’s Privacy Policy
In this Policy, we explain, among other things, how we collect your personal data, the purpose of collecting personal data, the rights you have in respect of our management of the personal data and how you contact us. The Policy applies to you as a user of our website, apps and other services and digital tools which are managed by Taskbuddy.
About personal data and our processing of personal data
Personal data is all information which can be linked to an identified or identifiable physical person. This means that a number of types of information, such as name and contact information, IP addresses, pictures of persons, and so on may constitute personal data.
The processing of personal data is all that is then done with the personal data. This may be anything from the collection and organisation of personal data to reading, using, adjusting and deleting information – no matter whether this is done by a system or a physical person.
The type of direct marketing we carry out and how you can opt out of it
We use direct marketing to you, carried out primarily via email, SMS, direct post or targeted advertising. We process your personal data for direct marketing based on our legitimate interest in being able to offer you our services. We consider that our legitimate interest in being able to offer you services outweighs your interest in protecting your personal privacy. It is however, simple for you to stop receiving direct marketing via email or SMS by clicking on a link or responding to messages we send out. Otherwise, just contact us on stopp@taskbuddy.se to stop receiving direct marketing.
When you register for the Service and provide your contact information, you also have the opportunity to refuse to receive marketing from us via email and SMS. We will, however, continue to send essential information on the Service as set out below under “Existing clients”.
Existing clients
When you register as a client with us, we collect and store personal data on you in the form of name, address, telephone number, email address and payment information.
The process your personal data to enable us to fulfil the Contract with you for the purpose of providing the services you have purchased, to administer the Agreement and to send offers and information to you
The processing of your personal data is necessary to fulfil and administer the Contract with you and constitutes the legal ground for us to save your personal data. The processing of your personal data is also required to satisfy our and your legitimate interest in ensuring that you are provided with relevant information from us. This legitimate interest constitutes a legal ground for us to save your personal data. We consider that our legitimate interest in being able to provide you with information on offers outweighs your interest of protection of your personal privacy.
We store your personal data on our premises for as long as the Service and the Contract continue, or for up to 24 months after the termination of the Service or if the Terms and Conditions cease to apply, or for as long as there is a legal obligation to retain the information. There is, for example, a legal obligation to save all information which is included in accounting, such as invoicing data, for at least seven years under provisions of the Accounting Act (1999:1078).
Use of the Service
Clients and service providers, as well as their employees, can use the Service to manage assignments. The Service provides GPS-controlled check in and check out with the service provider for those using the Service (“the Users”) with the service provider. All communication between client and service provider can take place via the Service. GPS-controlled localisation takes place via Google Maps.
We save your localisation data only when you are using the Service to check in and check out during an assignment. This is done to fulfil the Contract with you so that you are able to use the Service in the intended manner. It constitutes the legal ground for us to process and save your personal data.
When you are recommended by a User
An existing User has the option of inviting a partner so that the User and the partner are able to utilise the Service together. If you receive an invitation from a User, we will process your personal data by registering the personal data to enable us to contact you and help you begin using the Service together with your User. Contact will be made within one month from the date on which we have received your personal data. If you are not interested in using the Service in collaboration with the User, your personal data will be deleted.
The processing of your personal data is necessary to meet the legitimate interest which we, the User and you have in you receiving relevant information from us. This legitimate interest constitutes a legal ground for us to process your personal data. We consider that our legitimate interest in being able to provide you with information on offers outweighs your interest in protecting your personal privacy.
Personal Data Processor
The Service enables the User to register personal data, such as current employees of connected service providers. Taskbuddy, in its capacity as provider of the Service, is a Personal Data Processor for the User for the data you provide on yourself or on others. By taking out a subscription with Taskbuddy and by accepting the Terms and Conditions, you approve the commitments Taskbuddy undertakes in its capacity as Personal Data Processor, and as set out in Appendix 1.
Processing of personal data for the Service
The data we collect when you interact with our digital channels and services is processed by Taskbuddy and our partners mainly for the following purposes, over and above any purposes outlined above:
- For statistics, analyses and market research
- For system administration
- To test, develop, deliver and improve our pages, products, services, offers etc.
- To enable us to create and direct more relevant communications, offers & services based, for example, from segmentation and client profiling
The data processed includes name, address, postal address, email address, telephone number, ID information, information on your use of Taskbuddy’s services, products and transactions history, and, for certain services, it also includes photographs and localisation information. Where appropriate, the Swedish civil registration number and card information may also be processed. In addition, Taskbuddy may collect technical data on the units you use to access Taskbuddy’s digital channels, including IP address, unique unit ID, type of web browser and cookie information. Cookies are collected in accordance with our Cookie Policy, which you can read more about here. The type of collection described here is carried out, for example, when you log in on the Service via our app or website, give your personal data in various forms on our digital channel or its services, when you communicate with Taskbuddy via Taskbuddy’s platforms, in social media, when you submit comments on our contact forms or by telephone, download material from Taskbuddy’s websites or when you register interest in an event which Taskbuddy is arranging.
The processing of your personal data is necessary to meet our legitimate interest in developing the Service and other services. This legitimate interest constitutes a legal ground for us to save your personal data. We consider that our legitimate interest in being able to offer you services outweighs your interest in protecting your personal privacy. The personal data will be processed by us only for as long as is required to fulfil the purposes of the processing or to fulfil Taskbuddy’s legal obligations, but for no longer than the period specified above for processing data, where appropriate.
Minors and our services
By providing personal data to Taskbuddy, you consent to us processing your personal data. You also affirm that you are 18 years old or older, or that you have the consent of your parent or guardian for us to process your personal data. Please note that you can withdraw your consent at any time by contacting us. The contact information for this is given lower down.
Who might we share your personal data with?
We may share your personal data with other companies and organisations which process personal data on our behalf. This is done to enable us to conduct and develop our operation, for example through surveys, tests and analysis or for the delivery of services. These suppliers are called Personal Data Processors. When your personal data is shared with our Personal Data Processors, this is done only for the purposes we have stated, and the transfer of personal data is always carried out with the maximum security. We check all Personal Data Processors to ensure that they can provide sufficient guarantees for the security and confidentiality of personal data. We also enter into written agreements with all Personal Data Processors under which they guarantee the security of the personal data they process and undertake to comply with our security requirements, and also that the comply with the limits and requirements which apply to the international transfer of personal data. Taskbuddy collaborates only with Personal Data Processors who handle data within the EU/EEA or with companies which are located in a country outside the EU/EEA but which the EU Commission has determined can be considered to ensure an adequate level of security.
Sharing may also be carried out to comply with rules and statutory requirements such as reviews by supervisory authorities.
How your personal data is protected
We use IT systems to protect confidentiality, privacy and access to your personal data. We have taken special security measures to protect your personal data against illegal or unauthorised processing (such as illegal access, loss, destruction or damage). Only those individuals who really need to process your personal data for us to fulfil our specified purposes have access to your personal data.
Your rights and choices
You have a number of rights in respect of the processing of your personal data and you can have input into your information and how it is stored. You have the right to request an extract from the register of all personal data we hold on you, the right to request that we correct incorrect data and the right to request that we delete your personal data. You also have the right to request that we limit your personal data and you have the right to object to a specific type of processing that we carry out. You also have the right to request your personal data to enable you to take it to another player (data portability). How we handle Cookies
A cookie is a piece of data which we save onto our visitors’ computers and which, in certain cases, may be regarded as constituting personal data. We use cookies on our websites to give you, as a visitor, access to various functions. A cookie makes it possible to see/follow a user’s surfing, and we use cookies to administer and adapt your visits in our online services and to offer specially-selected elements of our services. We also use cookies to enable us to compile statistics of how the web is used, and to enable us to send direct marketing and offers to you. If you would like to know when your unit receives a cookie, you can set your browser to inform you of that. This gives you the opportunity to accept or reject a cookie. Your unit can also be set so that it rejects all cookies. In the event that you decide not to accept cookies, please note that certain functions on our online services will no longer function as intended.

Sometimes, our webpages contain links to other websites or material from third parties. These links are there solely for information purposes and, since Taskbuddy has no control over the content of these websites, we can take no responsibility for their content.
